A lot can happen in a business between the first and the last day of the month. Maybe a major client pays late or payroll comes in much higher than expected. Or both. Instead of waiting until month-end to understand what happened financially, we review and investigate important financial activity throughout the month. We aren't trying to recreate a full accounting close every seven days. We’re identifying the information that matters most to the day-to-day operation of the business and paying attention to it while there is still time to respond.

What we watch varies from company to company because every business is different, and the way cash moves through one business is likely very different from the way it moves through another. This means we have to know our clients' businesses well enough to understand which levers have the greatest impact on their financial activity.

For one company, we might need to keep a close eye on accounts receivable because a significant amount of cash is sitting in outstanding invoices. For a seasonal business, the bigger concern may be whether enough cash is being generated during the stronger months to carry the company through the slower part of the year.

What does management need to know this week that could affect the decisions they are making right now?

Where Your Business Needs Attention This Week?

It can be surprising to our clients how often weekly reviews unearth systems problems in their business. They can see, often for the first time, how the decisions they are making today have a direct impact on how the business functions and their bottom line. 

If a client’s payroll is growing faster than revenue that week, we would immediately look at whether staffing and scheduling still match the needs of the business. If cash is consistently tied up in receivables for a client, we’d examine how quickly invoices are going out and how overdue accounts are being handled. If a large annual expense creates cash pressure every year, we’d advise setting aside money for it throughout the year instead of scrambling when the bill arrives.

This is where financial information becomes useful beyond the accounting department. When you understand what is driving the numbers, you can improve a process, adjust staffing, protect cash for future obligations, or address a problem before it becomes more expensive to solve.

What Can Your Business Actually Afford Right Now?

Once a business reaches $1 million or more in revenue, there is usually a lot more happening financially from one week to the next. This is where looking at the bank balance alone can get a business owner into trouble. You may have plenty of cash in the bank today, but that doesn't mean all of it is available to spend.

When we are reviewing the financials throughout the month, we can keep those future needs in mind before the money is spent. We can also update cash projections as things change, so decisions are based on what the business expects to have available, not simply what is sitting in 

What we look at is going to be different for every business because it depends on how money moves through your company. If it takes 60 or 90 days to collect from your customers, you need enough cash to keep operating while you wait to get paid. If you're a service business carrying a significant payroll every two weeks, that obligation has to be covered regardless of when your customers pay.

You still need accurate month-end financial statements. But there is a big difference between finding out at month-end that you shouldn't have hired, spent, or distributed that money and knowing it while the decision is still yours to make.

That's the advantage of knowing where your business stands every Monday. You haven't just learned what happened. You still have time to change what happens next.
